Welcome to Soul Serenity Beauty & Wellness (“Soul Serenity,” “we,” “our,” “us”). By booking an appointment, visiting our spa, purchasing products or gift cards, or using our website and online booking tools (the “Services”), you agree to the Terms & Conditions and Spa Policies outlined on this page.

These terms are designed to protect your experience, respect our providers’ time, and maintain a serene, safe, and professional environment for every guest. If you have any questions about these terms, please contact us before your visit.

1. Definitions & Scope

These Terms & Conditions (“Terms”) govern your use of Soul Serenity’s Services, including in-person spa services, virtual consultations, retail product purchases, packages, memberships, gift cards, and use of our website and online booking system.

“You” or “Client” refers to any individual who books or receives a service, visits our premises, purchases products or gift cards, or uses our website and digital tools in connection with Soul Serenity.

2. Use of Site & Online Services

Our website and online booking tools are provided for personal, non-commercial use to learn about our services, request appointments, and contact our team.

  • You agree not to misuse, disrupt, or attempt to gain unauthorized access to our systems.
  • You agree to provide accurate, current information when booking or submitting forms.
  • Content on our site (including service descriptions, pricing, images, and copy) is for informational and marketing purposes only and is not medical advice.

Soul Serenity reserves the right to modify or discontinue portions of the website, features, or content at any time, with or without notice.

3. Appointments, Online Booking & Card on File

To reserve an appointment, a valid payment method is required:

  • A valid credit or debit card securely stored in our booking system; or
  • A reloadable Soul Serenity gift card with sufficient balance.

We use a secure, all-in-one booking and communication platform managed by our marketing and technology partner to handle scheduling, reminders, and client records. Your card data is processed by our payment processor and is not stored in plain text by Soul Serenity.

If your card on file is removed, declined, or otherwise invalid before your appointment, Soul Serenity may cancel the booking until a new valid payment method or gift card is provided.

4. Cancellation, No-Show & Late Arrivals

4.1 Standard Cancellation

Your appointment time is reserved exclusively for you. To respect our providers’ time and allow other clients the opportunity to book, we require at least 24 hours’ notice to cancel or reschedule an appointment.

Cancellations made with less than 24 hours’ notice will result in a fee equal to 50% of the scheduled service price, charged to the card or gift card on file.

4.2 No-Show Policy

A “no-show” occurs when a client does not arrive for their appointment and does not contact us to cancel or reschedule. No-shows are charged 50% of the scheduled service price.

Repeated late cancellations and no-shows may result in limited booking privileges or a requirement to prepay in full.

4.3 Late Arrivals

Please arrive on time so you can enjoy your full treatment. If you arrive more than 10 minutes late, we may:

  • Shorten the service so it ends at the originally scheduled time; or
  • Cancel the service if it cannot be performed safely or effectively.

If your appointment must be canceled due to late arrival, a fee equal to 50% of the scheduled service price will apply.

5. Payments, Pricing & Refunds

Soul Serenity accepts various forms of payment, which may include cash, major credit cards, mobile wallets, and approved third-party payment options such as Afterpay and Cherry Payment Plans. The exact options may change over time.

Unless otherwise stated, payment is due at the time of service or purchase. Prices for services, packages, and retail products are subject to change without notice, but we will always honor confirmed pricing at the time of your booked appointment.

Because professional time, products, and resources are reserved and used for your appointment, all service sales and deposits are final. Package, retail, and gift card refund rules are further described in our Payment & Refunds Policy, which forms part of these Terms.

6. Gift Cards, Packages & Promotions

Soul Serenity gift cards, packages, and promotional offers are subject to their own specific terms, including usage rules, promotional value expiration, and refund or exchange limitations.

  • Standard gift card balances generally do not expire and are not redeemable for cash, except as required by law.
  • Promotional bonus value may have a separate, earlier expiration date.
  • Packages and series are typically non-refundable once redeemed and may have a fixed validity period.

7. Health, Eligibility & Contraindications

Your safety and the safety of our staff are our highest priorities. During your consultation and at any time before or between appointments, you agree to:

  • Provide complete and accurate information about your health, medications, and recent procedures.
  • Inform us of any changes to your health that may affect your treatment.
  • Follow all pre-care and aftercare instructions provided by your provider.

Soul Serenity is a spa and wellness practice, not a medical facility. We do not diagnose or treat medical conditions. If we believe that a service is contraindicated or unsafe due to your health status, we may decline or postpone treatment and refer you to a licensed medical professional.

You understand that individual results vary and depend on factors including skin type, health, lifestyle, home-care compliance, and consistency of treatments. No specific outcome is guaranteed.

8. Conduct, Safety & Right to Refuse Service

Soul Serenity is committed to providing a safe, respectful, and professional environment for clients and staff.

We reserve the right to refuse, discontinue, or modify a service at any time if:

  • A client is under the influence of drugs or alcohol.
  • A client is disruptive, abusive, or disrespectful toward staff or other guests.
  • A client engages in inappropriate or sexual behavior or comments.
  • A safety, health, or ethical concern is identified.

Inappropriate conduct may result in immediate termination of the session without refund and may lead to a permanent ban from the premises. When appropriate, incidents may be reported to local authorities.

9. Communications, SMS, Email & AI Tools

By providing your mobile phone number and/or email address, you consent to receive communications related to your appointments, including confirmations, reminders, schedule updates, and follow-up messages.

With your separate consent, you may also receive occasional promotional or educational messages. You can opt out of marketing communications at any time:

  • Reply STOP to unsubscribe from SMS messages.
  • Click “Unsubscribe” in marketing emails to stop promotional email campaigns.

Message and data rates may apply. Message frequency varies based on your bookings and preferences. Your consent to receive SMS or email marketing is not a condition of purchasing any goods or services.

Our booking and communication platform may use automation and AI-assisted tools to help draft reminders and responses, but final decisions about services and care are made by human staff. AI tools are for support only and do not provide medical advice or diagnoses.

10. Third-Party & Technology Providers

Soul Serenity partners with external providers, including American Dreams Marketing and other third-party platforms, to host our website, manage booking, send communications, process payments, and provide financing options (such as Cherry Payment Plans).

When you apply for or use third-party services such as Cherry or Afterpay, you are interacting directly with those providers and are subject to their own Terms of Service and Privacy Policies. Soul Serenity is not responsible for decisions made by third-party lenders, including approvals, denials, interest rates, fees, or payment schedules.

We take reasonable steps to work with reputable partners and protect your data, but we are not liable for acts or omissions of independent third-party companies.

11. No Guarantees & Limitation of Liability

While we strive to provide an exceptional experience, Soul Serenity makes no guarantees regarding specific results from any service or product. Individual results may vary.

To the fullest extent permitted by law, Soul Serenity, its owners, employees, and affiliates are not liable for any indirect, incidental, consequential, or special damages arising from or related to your use of our Services, website, or third-party providers.

In any case where liability cannot be disclaimed by law, our total liability shall be limited to the amount you paid for the specific service or product giving rise to the claim.

12. Intellectual Property & Website Content

All content on the Soul Serenity website and branded materials—including text, images, logos, graphics, and design—is owned by or licensed to Soul Serenity and is protected by applicable intellectual property laws.

You may view and print content for personal use related to our Services, but you may not reproduce, distribute, adapt, or use our content for commercial purposes without prior written permission.

13. Changes to These Terms

Soul Serenity may update these Terms from time to time to reflect changes in laws, best practices, or our services. When we make material changes, we will update the “Last Updated” date at the top of this page.

Your continued use of our Services after changes are posted constitutes your acceptance of the revised Terms.

15. Spa Policies

The following Spa Policies are part of and incorporated into these Terms & Conditions. They are designed to protect your experience and maintain a peaceful, professional environment inside the spa.

15.1 Minors, Children & Guests Without Appointments

Soul Serenity provides a calm, relaxing atmosphere that is not suitable for children or unscheduled guests in treatment areas.

  • Children and guests without appointments are not permitted in treatment rooms.
  • Clients must arrange childcare and avoid bringing additional guests to services.
  • Clients who arrive with unscheduled children or guests may be asked to reschedule and may be subject to the applicable cancellation fee.

15.2 Cell Phone & Device Usage

To maintain a tranquil environment and support your safety and results:

  • Mobile devices must be silenced and stored during treatments.
  • Please refrain from phone calls, video calls, and recording in treatment areas.

15.3 Service Animals

Soul Serenity complies with applicable laws regarding trained service animals. Pets and emotional support animals are not permitted in treatment areas.

  • Service animals must be trained to perform specific tasks for individuals with disabilities and must be under control at all times.
  • We may decline access or end a session if an animal is disruptive, aggressive, or poses a safety risk.
  • All service animals must be healthy and appropriately vaccinated, and the handler is responsible for their care, supervision, and clean-up.

15.4 Valuables & Personal Belongings

We encourage you to leave jewelry, electronics, and other valuables at home. While we take reasonable care to maintain a safe environment, Soul Serenity is not responsible for lost, stolen, or damaged items brought onto the premises.

15.5 Confidentiality & Privacy in the Spa

Our staff respects your privacy and maintains discretion regarding information shared during services. Basic health and preference information is collected to customize treatments and ensure safety.

15.6 Sickness & Contagious Conditions

To protect all guests and staff, please do not attend appointments if you are experiencing symptoms of a contagious illness (such as fever, cough, rash, active infection, or other flu-like symptoms).

If you become ill or are exposed to a contagious condition, please contact us as soon as possible to reschedule. At our discretion, we may waive the cancellation fee for illness-related rescheduling; however, repeated use of this policy may require a medical release before booking future services.

By entering the spa, you acknowledge that no environment can be entirely free of contagious illness and you voluntarily assume that risk.

15.7 Respectful Conduct & Professional Boundaries

Soul Serenity maintains strict professional boundaries to ensure a safe, healing environment for all. Clients are expected to treat staff and other guests with respect at all times.

  • Sexual comments, advances, or inappropriate behavior are not tolerated.
  • If a client engages in inappropriate conduct, the service will be terminated immediately without refund, and they may be permanently banned from future services.
  • When appropriate, we may report serious incidents to local authorities to help protect spa professionals and the community.
